This Privacy Policy explains what information the DIVAS Discord bot ("DIVAS," "we," "us," or "our") may collect when it is used in a Discord server, why that information is collected, and how it is handled. We aim to collect the minimum necessary to provide verification functionality.

2. What Information We May Collect

Depending on configuration, DIVAS may collect and store the following categories of information. Adjust this list to match your bot's real implementation before publishing.

  • Discord User ID: A unique numeric identifier for your Discord account, used to associate verification status with the correct member.
  • Discord Server/Guild ID: A unique identifier for the Discord server DIVAS is operating in, used to keep each server's configuration and verification records separate.
  • Roles and verification status: Whether a member has completed verification, and which role(s) were assigned as a result.
  • Configuration data: Server-specific settings configured by administrators, such as the designated verification channel, verified role, and related preferences.
  • Logs, where applicable: Limited technical logs (such as command usage or error events) may be retained temporarily to diagnose issues and maintain security.

DIVAS does not collect message content, private conversations, payment information, passwords, or Discord account credentials. DIVAS does not request personal information such as your real name, address, phone number, or email address as part of verification.

3. Why We Collect It

Information is collected strictly to operate the verification system and keep it reliable:

  • To confirm which members have completed verification in a given server.
  • To apply the correct role automatically after successful verification.
  • To allow server administrators to configure DIVAS for their specific community.
  • To detect and respond to abuse, raids, or attempts to bypass verification.
  • To diagnose technical issues and keep the Bot running reliably.

4. How Data Is Stored

Data collected by DIVAS is stored in a secured database associated with the Bot's hosting infrastructure. Access to this data is restricted to what is necessary for DIVAS to function and for its operators to maintain and troubleshoot the service.

5. Data Retention

We retain verification and configuration data for as long as DIVAS remains active in a given server, or as long as necessary to provide the service. If DIVAS is removed from a server, associated server configuration data is scheduled for deletion within a reasonable period thereafter. Specify an exact retention window here (e.g., 30 days after removal) once finalized.

6. Data Deletion Requests

You may request deletion of data associated with your Discord User ID, or a server may request deletion of its server-wide configuration and records, by reaching out through our Contact page. We will process verified deletion requests within a reasonable timeframe, except where retention is required for legitimate security or legal purposes.

7. Security Measures

We apply reasonable technical and organizational measures to protect stored data against unauthorized access, alteration, disclosure, or destruction, including restricted access controls and secured hosting infrastructure. No system can be guaranteed to be completely secure, but we work to keep DIVAS's handling of data as safe as practical.

8. Third-Party Services

DIVAS may rely on third-party infrastructure providers (for example, hosting or database providers) to operate. These providers process data on our behalf and are expected to maintain appropriate security standards. DIVAS does not sell your data to third parties, and does not share it for advertising purposes.

9. Discord API Usage

DIVAS operates through Discord's official API and is subject to Discord's own Privacy Policy and Developer Terms of Service in addition to this policy. Information visible to DIVAS through the API (such as your username, user ID, and server membership) is used only as described above.

Depending on your location, you may have rights to access, correct, or delete personal data we hold about you, and to object to or restrict certain processing. We will respond within a reasonable timeframe and may need to verify your identity (such as confirming your Discord User ID) before acting on a request.
